Clear the queue without adding people.

Onboarding, applications, transfers, consents, reviews. Operator hands each job between your team and its agents, so work stops waiting in inboxes and your people check it instead of keying it.

The work isn’t slow. The waiting is.

A platform application sits in an inbox until someone checks it, waits for the client to sign, then queues to be lodged. Every job in operations runs like this. A step gets done, then the job waits for the next person to pick it up.

Operator hands each step to its next owner as soon as the last one is done. Agents take their steps straight away and chase the client while they wait. The client still takes a day to sign. Nothing waits in an inbox.

Your procedures, run the same way every time.

Map each job once: the steps, who owns each one and what needs an approval. Agents take the steps you trust them with and your people take the rest. The way your most experienced person runs a job becomes the way it always runs, even when they’re on leave.

Nothing gets typed in twice.

Agents fill applications and forms from what the firm already has: the CRM, the fact find, the identity checks and the advice. Where two sources disagree, the field goes to a person instead of a guess.

Consents that don’t lapse.

Each ongoing fee consent is drafted when its window opens, with the fees and accounts it covers. The adviser approves it, the client signs, and the agent chases until it’s back. Nobody keeps the list in a spreadsheet.

Checked before it goes out.

Every application and transfer runs your checks before it’s lodged, so fewer come back with outstanding requirements. When a check fails, the job goes straight to the person who can fix it, with the reason.

See what it frees up in your team.

Put in your own numbers. The hours are the ones your team spends moving work between systems and people, not the work only they can do.

Common questions.

Do we need to replace our CRM or our platforms?

No. Operator works with the systems your team already uses: your CRM, Microsoft 365 or Google Workspace, and your platforms. Agents read what each step needs from them and write back what they did.

Which job should we start with?

The one that runs every week and waits the most. For most operations teams that’s new client onboarding, platform applications, off-market transfers or fee consent renewals. Bring it and we’ll map it with you, step by step.

What happens to my team?

They stop re-keying and chasing, and spend the time on the work that needs them: checking, deciding and looking after clients. The time back can go on more clients without hiring, or on moving people into the client work they’ve been waiting to do.

What about review season and EOFY?

Agents don’t have a busy season. When reviews or EOFY requests pile up, they take the same steps on every job, and your people check the work as it lands instead of working back.

Does it work with the new fee consent rules?

Yes. Each ongoing fee arrangement now needs one signed consent a year, covering the fees and the accounts they come from. Operator drafts each consent when its window opens, sends it once the adviser approves, and chases it until it’s signed, so nobody finds out after a consent has ceased.

Can our offshore or outsourced team work in it?

Yes. Each person, wherever they sit, sees only the clients they’re meant to, and every step they take is on the record. When your licensee asks how offshore work is overseen, the answer is already written down.

Can we see who did what?

Yes. Every job keeps a complete record: each step, who took it, what they approved and when. When an auditor or your licensee asks, you don’t have to rebuild it from emails.

Is our client data safe?

Yes. It’s hosted in Sydney, access stays inside your firm’s permissions, every action is logged, and your data is never used to train anyone’s AI. See security.

Bring the job that backs up first.

We’ll map it with you, step by step, and run it alongside your team.
